Most calls rang out while he was on a job
Gardenscape covers the hard side of landscaping: patios, resin-bound drives, porcelain paving and sleeper beds, plus plenty of enquiries about fencing and gates. Sam runs it as a small family operation, bringing in subcontractors when a job needs them.
In a normal week the business takes around six or seven calls, more in spring and summer. Most of them used to go unanswered. “When you’re busy working, you don’t hear your phone,” Sam says. Callers left a voicemail, a quick “can you call me back?” or nothing at all, and evening callbacks turned into telephone tennis. By the time he got through, some had already booked someone else to quote.
Set up in minutes, and better than he expected
Sam came to Cyberstaff through a personal recommendation, and getting the AI Receptionist live took minutes. By his own admission he is “not very good with technology”, so the first test calls were a pleasant surprise. “I thought it was amazing,” he says. “I didn’t expect it to be as good as it was.”
Like having a personal assistant on the phone
When Sam can’t pick up, the AI Receptionist answers, asks the questions he needs answered and sends him the details by email. “It’s like having an assistant,” he says. “It’s like someone answering the phone for me.”
That email doubles as a filter. Cold calls, scam calls and reps selling building materials are easy to spot and skip, and genuine leads stand out because the caller has taken the time to explain the job. When Sam rings back he already knows what they want, so the call is simply about booking a site survey.
Three paid jobs and around £22,500 in the first month
In roughly the first three to four weeks, three calls handled by the AI Receptionist turned into paid jobs, averaging around £7,500 each. That is roughly £22,500 of work. Sam is clear he would not have hit that ratio on voicemail. Some callers would have gone cold, and others would have booked another landscaper while waiting two or three days for a callback.
Customers have noticed the difference too. Sam says the feedback has been 100% positive, with callers finding it very professional, and as far as he knows nobody has refused to talk to it or asked for a human. Callbacks land better as well, because the whole experience feels more professional from the first ring. Several people he knows in the trade have rung, been impressed and asked how they can get it for themselves.
