A public number brings every kind of caller
Michelle has spent her career in the beauty industry, in salons and working mobile, before converting a van into a fully fitted treatment space with a built-in massage table, heating, sound and lighting. She parks on a client’s driveway or at their workplace, they step in for their treatment, and nobody has to battle traffic or hunt for parking. Running it herself, with no premises, keeps her in control of the clients she takes on and the places she goes, and keeps overheads down.
The catch was the phone. With her number on her website and social media, it rang with sales pitches, bots and scam callers, plus the odd caller after something a professional wellness brand does not offer. Working alone, often mid-treatment or at the wheel, Michelle had stopped answering unknown numbers altogether, and still had to work out who was genuine before agreeing to a booking.
Why she chose Cyberstaff’s AI Receptionist
Michelle spotted Cyberstaff in an Instagram ad and started the seven-day free trial. She expected a stilted robot with one-word answers. What surprised her was how natural it sounded, repeating back a caller’s name, where they are based and the treatments they are interested in.
For a woman working alone and offering massage, knowing who she is about to meet matters. Every caller is now asked who they are, where they are and what they are looking for before Michelle agrees to anything. As she puts it: “Who are you? What are your details? And if you’re not going to provide those, then why am I going to book you in?”
Every call answered, only the genuine ones passed on
Around five calls a day come in, many of them sales calls and bots. Michelle’s number now forwards straight to the AI Receptionist, so it picks up every time, whether she is mid-treatment or driving between clients. An email arrives straight away with who called and why, and a single tap opens WhatsApp or a call back. Callers who leave no details simply fall away, and one caller who chatted happily with the AI Receptionist, and said how much she loved it, ended up booked in.
Regular clients use it too. If someone is running ten minutes late, the AI Receptionist offers to pass a message straight to Michelle. It remembers returning clients’ names, locations and past occasions, suggests other treatments, and understands that Pampervan’s bespoke packages are not a standard booking. Every call Michelle has listened back to has been handled just as she would want. The return is easy to see. Michelle spent roughly £90 on the AI Receptionist during her first three months. In that time, one enquiry screened through the service resulted in a new client who, if she becomes a regular, could be worth around £1,800 a year to Pampervan.
Less stress, more peace of mind
Setup took one evening. Michelle configured it, rang it herself to test, then told her clients about it. Their verdict came quickly: “Who’s your new receptionist? They sound really good.”
Missed calls used to come with a nagging worry about how many bookings might have slipped away. Now every call is answered, recorded and summarised, so there is nothing to chase and nothing to wonder about. Her advice to other start-ups and solo business owners is simple: “Go for it. If you’re a start-up or a solopreneur, this will take a lot of weight off your mind.”
